Everything Vantage Plan does, in one place.
Real scheduling. Real costs. Real project journal. Six core pillars in the Basic edition, eight Pro modules in the upgrade, and a mobile companion that goes with you.
The execution core.
Six pillars. One app. Yours forever.
Plan complex work, schedule it across days that match how you actually work, track what it costs, and keep the momentum going. The Basic edition is the durable foundation — no subscription, no recurring bill, no "your trial has expired."
Tasks — Build the plan, organize the work
Multi-project hierarchies. Nested tasks that roll up dates and costs to their parent. A quick-add bar at the bottom of every list, cursor always blinking — capturing a task is one Enter.
- Table mode — your project's canonical order. Drag, indent, reorder. The order drives every other view.
- Query mode — slice, sort, and filter without touching the canonical order. Sort by cost, filter by person, find overdue work. Your plan stays exactly as you left it.
- Per-project status labels — every project can have its own vocabulary ("Inventory," "In Production," "Shipped") instead of a one-size-fits-all status list.
- Bulk actions — change status, priority, or completion on twenty tasks in one undo step.
- Right detail panel — every field, edited inline, saved instantly. No window-opening ceremony for two-second edits.
Calendar — See the days you actually work
Six views — Day, 2-Day, Week, Month, 2/3-Month. Tasks appear as colored blocks at their scheduled time. Non-working hours dimmed. Drag a block to reschedule the time of day. Resize it to change your daily allocation.
- Per-day scheduling — multi-day tasks can have different hours each day. Different allocation Monday than Wednesday? Drag each day independently.
- Person filter — answer "what does Jane's week look like?" in one click. Overlay multiple people to find a shared open day.
- Project filter — focus the calendar on one project's schedule without losing the broader portfolio view.
- Reminders — multiple per task, daily reminders for multi-day work, delivered to macOS, Apple Calendar, Google Calendar, or email with
.icsattachment. Notify your whole team with one click.
Gantt — Real dependencies, real critical path
FS / SS / FF / SF dependencies with lag. The same Critical Path Method professional project managers use. Six zoom levels from 30-minute precision to multi-month roadmap.
The AI assistant reads the same plan you are looking at. No copying dates into a chat window and pasting the answer back. It already sees the tasks, the dependencies, the baseline and the costs on the chart, and edits them in place — on your Mac, in your file, with nothing uploaded.
- The Estimated Time Lock — a padlock per task. Locked: your estimate is sacred, the schedule flexes. Unlocked: the timeline is sacred, the estimate flexes. Stop fighting your tool over which number to protect.
- Baseline comparison — set a baseline; grey bars show where each task was when you saved it. The visual gap between grey and colored is the schedule variance. See drift without comparing spreadsheets.
- Auto-schedule cascade — move a predecessor and every dependent task shifts forward. Move it earlier and the cascade asks before unwinding.
- Drag-to-reorder — vertical drag changes task order, horizontal drag changes dates.
- Labels menu — toggle what shows next to each bar: task name, status, resource names, assets, hours, cost, progress percentage. The same PDF export the printer gets.
Kanban — See the flow, move the work
Cards in status columns. Drag a card to change status; the Gantt, the calendar, the cost view all update. Within a column, drag to set your priority order — Kanban order is independent of the canonical task order that drives scheduling.
- WIP limits — set a limit on any column. Exceed it and the header turns red with "8/5." The bottleneck shows itself before it becomes a crisis.
- Swimlanes — group cards within columns by Assignee, Priority, or Parent Task. See who's overloaded; see which initiative is moving.
- Customizable cards — toggle exactly what each card shows: assignee, due date, cost, hours, description preview, emoji, dependencies. Tune density for your screen.
- Resource conflict indicator — the scale icon glows red when team members or assets are over-allocated. Click to jump straight to the conflict.
Cost & time — Built into the project, not bolted on
Seven cost views — Estimate, Cash Flow, Split, Matrix, Assets, People, Time Log — all reading the same data. People with hourly / daily / weekly / monthly / fixed rates. Assets with depreciation.
- Asset depreciation — Straight-Line, Declining Balance, or Units of Production. The app spreads equipment cost across the tasks that use it, so each shoot carries a fair slice of the camera's investment. An Investment-Recovery dashboard tells you when an asset is paid back.
- Time Log on the subject itself — every task and every spotlight has a TIME TRACKING block in its detail panel. Press ▶, do the work, press ■. The cost rate snapshots at log time, so historical entries don't silently change when rates renegotiate.
- Pomodoro logs itself — 25/5 focus sessions automatically write a TimeEntry against the active task. Finishing a session is the log.
- Manager approval — flip Approved on any entry; the entry stamps the approver and timestamps automatically. Green pill, read-only for non-managers, zero friction.
- Two rates, one truth — every entry stores a cost-rate snapshot (immutable) and an optional billing-rate override. What it cost you vs what you charge the client, with a clean audit trail.
Project Journal — Your work, owned, portable
A .pproj file is your entire project — every task, dependency, person, asset, journal entry, inline image, board diagram, and spotlight item — packaged into one re-importable file. Backups become trivial. Hand-off is one file. The format is JSON under the hood: future-proof and inspectable.
- Journal — every project has its own document workspace. Two-space sidebar: AI Workspace and My Journal. Inline images (paste, drag, copy from another app). Tables, code blocks, hashtags that auto-organize.
- Insert Live Project Data — drop a real task table, cost summary, milestones list, or status report directly into your note. Numbers are current to the moment you inserted them.
- Linked entries — type
@to link to another journal entry. Automatic backlinks make your knowledge connected, not isolated. - 25 ready-made templates — Home Renovation, Product Launch, Wedding, Video Production, Book Writing. Each is a proven checklist with prioritized tasks. Save any finished project as your own custom template.
- Export to Journal — every view has a button that captures the current screen as a rich markdown document, saved into your journal. Status reports, cost breakdowns, what-if results — all current to the moment.
The strategic layer.
Eight modules. Capture, visualize, simulate, sell, analyze, and accelerate.
The Pro layer is what you upgrade for when the question stops being "what's next?" and starts being "where is this going?" Each module replaces a tool the cloud-SaaS world charges $7–$25 per user per month for. Together, they're one app you own.
One year of the replacement basket — Jira + Miro + Asana + ClickUp Brain — costs $598/year. Pro is $229 once.
Cost Management — Know if you're making money
A second row of cost modes — Budget Builder, Actuals, Rules (overhead pools), Profitability, Health.
- Budget vs Estimate vs Actual — three-way variance with color-coded status per category. A small dot in the Cost toolbar shows budget status at all times, across every mode.
- Actuals — capture costs that aren't tasks (AWS bills, contractor invoices, travel, materials). Approval workflow (Draft → Submitted → Approved → Rejected).
- Overhead pools — define rent, software, insurance as monthly costs. Six allocation methods (percentage of labor, capacity hours, role-based by seats, etc.). Get your Fully Loaded Cost — the number you should price against.
- Profitability — pricing calculator with target margin or markup. Break-even price always visible. Set a sale price; margin updates instantly.
- Health — utilization alerts, forecast overrun warnings (Earned Value), missing-budget reminders. Five KPI cards on the Overview (Estimated, Actual, Forecast Final, Sale Price, Margin) with trend arrows showing direction.
- 16-tab Excel export — Project Summary, Budget vs Actual, Invoice Register, Overhead Allocation, Variance Summary, more. Your accountant gets clean data; you stop rebuilding spreadsheets at quarter end.
Sales & CRM — From delivery to revenue, one place
Commercial setup, pipeline (kanban), companies and contacts, quotes from a service catalog, invoices connected to your project data.
- Pipeline — drag deals through Lead → Qualified → Demo → Proposal → Negotiation → Won/Lost. Each card shows expected revenue, probability, days in stage, and source channel.
- Quotes — pick from a service catalog, set quantities, apply discounts, auto-number, track versions. One click converts an accepted quote to a draft invoice.
- Invoices — auto-numbered, tax-calculated, line items from milestones / timesheets / direct costs / manual entries. Status auto-updates: Issued → Partially Paid → Paid.
- Dashboard — pipeline value, weighted value, win rate, average deal size, sales velocity. Revenue by channel ("Conferences: 75% win rate, $16,980 revenue") and Win/Loss reasons.
- Tax season without scramble — set tax name and rate once; Export Center gives your accountant a clean Invoice Register tab. Quarterly declarations take minutes.
Analysis — Test the change before you make it
A project-level analysis workspace with four tabs — What-If, Cross-Project, Status Report, and Email Draft. Ask the awkward question — “what happens if this task slips five days?” — and get the answer before you commit to it.
- What-If simulation — choose a scenario (slipping a task, for instance), set the number of days, and run it. You get the finish-date movement, how many tasks land on the critical path, and the budget impact — plus every affected task and the reason it moved. Nothing touches the plan until you choose Keep Results.
- Cross-Project — project cards, person allocation, and conflict detail in one place. You see who is committed to two things at once before they have to tell you.
- Status Report — a formatted project snapshot with milestones and metrics, built from live data instead of retyped from four other screens.
- Email Draft — subject line and body for the stakeholder update, drawn from the same current numbers.
- All of it exports to the journal — scenario parameters and the before-and-after comparison, the cross-project overview, the status report, the email. One click each, accurate to the moment you exported it.
Board — Draw what words can't say
Two surfaces: Whiteboard for process diagrams and Dashboard for live data charts.
- Whiteboard — flowchart shapes, business-process shapes (BPMN), logic shapes, connectors that auto-route around boxes. Double-click a container to drill into a sub-process; the breadcrumb tells you where you are.
- Dashboard mode — pick a template (Project Overview, Cost Dashboard, Resource Dashboard). Ring charts, burndowns, cost breakdowns, milestone timelines — all live from your real project data. Mark a task done; the ring chart updates.
- AI draws too — "show me a pie chart of project costs," "draw the task dependency chain." It pulls from your real data, not a generic illustration. Annotate on top with pen or highlighter, then save to journal.
- Export anywhere — PNG, SVG, BPMN. Your process diagrams aren't locked in.
Spotlight — The inbox for everything that isn't a task yet
Every bug, feature request, idea, and epic gets a permanent record with a unique key (SPOT-1, SPOT-2), a type, a priority, and a status workflow. Triage later. Convert to tasks when ready.
- Quick capture — type at the bottom of the Spotlight tab, hit Enter, done. Five bugs in thirty seconds, without opening a form.
- Link to tasks — Assign (this spotlight is being handled), Spawn (create a new task from it), or Link Existing (Related / Blocks). The bridge between "I noticed something" and "it's a tracked task."
- Labels, comments, attachments — colored labels filter everything; threaded comments record the debugging conversation; paste a screenshot directly. Each spotlight becomes a permanent context, not a sticky note in someone's drawer.
- Saved queries — build a filter (high-priority bugs, this project), save it as "Critical Bugs," one click next time.
- Board view — drag cards between columns (New / Triaged / On Hold / In Progress / Resolved). Triage twenty items in five minutes.
Spotlight types
Move from bugs to feature requests, ideas, and epics without leaving the same intake workflow.
PEM — Project Execution Matrix
The portfolio layer. Strategic lanes (Revenue Growth, Cost Optimization, Customer Success). Three priority tiers (Strategic / Operational / Growth). Every project laid out on a single canvas.
- Timeline — three-year roadmap with dependency arrows, target dates, leadership milestones, and a red "Today" line that's always visible. Right-click any project to assign it to a different lane or tier without leaving PEM.
- Matrix — lanes × quarters. The view you screenshot for the board deck.
- Portfolio analysis — the PEM's own Analysis tab: Lane Health table with red/yellow/green status, Risks & Blockers (severity-ordered), Strategic Alignment Gaps (lanes with no leader, tier concentration risk).
- What-If Simulator — stack actions ("delay the audit by 3 weeks, defer training, cancel the brand refresh"). See cost delta, capacity impact, and full cascade chains before committing. Save named scenarios — "Q2 Austerity," "Fast Track Revenue" — and reload them to compare alternatives.
- Resource capacity — monthly bars showing total estimated hours; an orange dashed line marks team capacity. The June crunch shows up in March, while there's still time to fix it.
- Budget — project-level budgets in custom categories; cost components tagged to categories flow up to lane- and tier-level summaries. Untagged costs surface with an orange warning so nothing slips through.
Momentum — Consistency you can see
A quiet motivation layer that rewards showing up. Focus sessions and streaks turn steady daily progress into something you can watch build — the habit, not a game you have to babysit.
- Focus sessions — a built-in Pomodoro timer on any task. A finished 25/5 session logs the time and updates your Momentum streak and XP automatically.
- Streaks & XP — consistent progress builds a visible streak and earns XP, so a productive week shows at a glance.
- Private by design — no public scores, no leaderboards. A personal marker of your own consistency, nothing pushed at you.
AI Agent copilot — Your project co-pilot
A chat panel that understands your project. Eight tool modes (All Tools, Common, Smart, Smarter, Used Tools, PlanPal, Boardroom, Chat) so you can control cost. Four providers (Anthropic, OpenAI, Google, Local AI models) you can switch between mid-conversation.
- Basic plan — 267+ tools
- Pro plan — 382+ tools
- What the tools do — create tasks with dependencies, run what-if scenarios, generate status reports, control every view, post journal entries, manage spotlights, log costs from photos.
- Image input — paste a napkin sketch and it creates the project. Photograph a hardware receipt and it logs the cost (with a confirmation form pre-filled). Screenshot a Gantt and ask "what's wrong with this schedule?"
- AI Memory — remembers your preferences, team roles, project workflows across conversations. Stored locally on your Mac, not on a vendor's server.
- Journal awareness — sees your recent journal entries and reads them on demand.
- Live cost tracking — every message shows a token estimate before send and the real billed cost after. The Cost view's AI Costs tab shows total spend per project, per model, per day.
- Bring your own key — Anthropic, OpenAI, or Google Gemini. Keys stored in macOS Keychain.
- Use your own account with Anthropic, OpenAI, or Google. Download the Vantage Plan helper to set your account up.
- Bring your own local AI model using the third-party software LM Studio.
- Connect your Claude Desktop app through an MCP Bridge connector.
Your projects on the go.
Not a clone of the desktop — a purpose-built tool for the things you actually do on your phone.
iPhone & iPad — built for how you work on the go
Not a desktop port. Seven purpose-built capabilities for your phone and iPad — from today view to location reminders.
- Today view — overdue, due today, upcoming. Tap the circle to mark done. Swipe to complete, delete, reschedule.
- Timeline (Gantt on mobile) — pinch to zoom Day/Week/Month. On iPad, desktop-class split view with editable bars and dependency drawing.
- Calendar with 5 views — Month, Week, 2-Day, Day, List. Sticky 7-day strip in Day/2-Day. Rotate the phone in Week view and a floating side panel docks.
- Built-in time tracking — Start Timer on any task. Pomodoro updates your Momentum streak and XP.
- Siri & Share Sheet — "Add a task in Vantage Plan" creates one. Share a URL from Safari and it becomes a task.
- Location reminders — your phone buzzes when you arrive at the job site, the hardware store, the client's office.
- Widgets — Today summary on your Home Screen. Task count on your Lock Screen.
Sync is your iCloud, not our server. Cloud Sync is off by default. When you turn it on, records flow through your iCloud account — not third-party infrastructure. Each workspace syncs independently; one stays local while another goes to your phone.
The local-first commitment.
Most modern work suites assume your data lives on their servers. Vantage Plan inverts that.
Your own local AI model, your control
Connect your own local AI model and keep sensitive information where it belongs: on your device and under your control.
With local AI, your prompts, documents, and business data can be processed directly on your own hardware — reducing reliance on external cloud AI services and limiting unnecessary data exposure.
Private by design. Local by choice. Powered by your own AI using LM Studio.
Your Mac, your data — full local-first control
No analytics, no telemetry, no crash reporting. Each workspace is a single file on your disk — back it up, encrypt it, move it. Four optional network channels, each independently disableable per workspace.
- Everything stays on your Mac — each workspace is a file on your disk. Back it up, encrypt it, move it. No analytics, no telemetry, no crash reporting.
- Four optional network channels (AI chat, Google Calendar, Apple Calendar, OpenAI voice) — every one can be disabled per workspace. Set a workspace to AI Disabled + Calendar Blocked and the app makes zero network connections.
- AI Transmission Audit Log — an immutable record of exactly what was sent to external providers, surviving even conversation deletion.
- PIN-locked workspace settings — admins can lock sync, AI, and calendar settings so nobody enables them without authority.
Data Protection — Use AI without exposing your data
The Rosetta Stone. A local translation table that maps every identifiable piece of your project to fiction from a different industry. "John Martinez" becomes "Margaret Chen." "Lockheed Martin" becomes "Sunshine Bakeries." Your $1.2M budget becomes $1.6M (scaled by a secret random factor).
The AI receives a structurally valid project — correct dates, real durations, working scheduling logic. It can auto-schedule, analyze costs, build Gantt charts, run what-if scenarios, build PlanPal project plans. It just has no idea who you are, who your client is, or what you're actually building.
You see your real data on screen, always. The translation happens invisibly in transit — even during live AI responses, fake names resolve to real names as the text streams in. The audit log captures every API call with a DATA PROTECTED badge; hand it to your compliance team line by line.
Vantage Plan is in the final stages of development for the Mac App Store. iOS launch follows. We're building in public — join the waitlist for major updates, or read the blog.
